In any support a rule holds: a small share of topics drives most tickets. "How do I return an item?", "where is my order?", "how do I change my plan?" — these repeat endlessly. They are ideal to hand to AI, which answers instantly and around the clock, from your verified answers.
Where to start with auto-replies
- Gather frequent questions: see what is asked most.
- Prepare verified answers: accurate, from your knowledge base, not "invented" by AI.
- Set up a path to a human: "did not help? contact an agent".
- Monitor quality: regularly check that AI answers correctly.
Key: answer from a verified base, not from AIs "head"
The danger is that if AI answers questions about your product from "general knowledge", it may invent. The right approach: AI answers based on your knowledge base (articles, instructions, rules). Then answers are accurate. We cover this in more detail in the knowledge-base module.
Always leave an exit to a human
Nothing enrages a customer like a bot stuck in a loop and not letting them reach a human. Auto-replies must easily hand the customer to an agent when AI fails or the customer asks for a person. This is not weakness but respect for the customer.
Rule: automate frequent questions with a clear-cut answer, answer from a verified base and always give a path to a live specialist.
