A complex system is a system you abandon
Beginners often build a grand structure: dozens of folders, complex tags, clever rules. Within a week it all gets tiresome, and the notes are abandoned. The secret is the opposite: a maximally simple system, easy to put things into and pull things out of. AI removes the need for a complex manual structure.
Why simple wins
Before, a strict folder structure was needed, or you could not find anything. Now meaning-based search via AI finds what you need even without a perfect layout. This changes everything: you can put notes in almost "as is", and AI brings the order.
A minimal working system
- Inbox: one place where everything new lands without thinking.
- A couple of big areas: for example "work", "personal", "ideas" ā not twenty.
- Process later: capture first, sorting is a separate step (next lessons).
Lower capture friction
The main enemy of notes is friction: if writing a thought down is slow and hard, you will not do it. Make capture instant: one app, one list, minimal steps. Beauty and order come later, at the processing stage.
Rule: do not build a perfect system ā start with a simple one and keep it. You will improve it along the way when you see what is missing.
